Job Description
Assist in coordinating and tracking various activities and initiatives led by the social department, ensuring timely completion and adherence to deadlines
Duties and Responsibilities
Administrative Support:
Provide administrative assistance to the social department, including scheduling meetings, managing calendars, and handling correspondence
Communicate scheduled appointments, book meeting rooms, take minutes and manage staff calendars
Maintain organized filing systems and databases, ensuring accurate and up-to-date records of departmental activities and resources
Social Activity Coordination:
Assist in coordinating and tracking various activities and initiatives led by the social department, ensuring timely completion and adherence to deadlines
Collaborate with team members to allocate resources, track project social milestones, and monitor progress against goals
Communication Facilitation:
Serve as a primary point of contact for internal and external inquiries related to the social department, responding promptly and professionally to requests for information and assistance
Assist in drafting written communications, including memos, and correspondence on behalf of the social department.
Collect, organize, and store information using computers and filing systems
Logistical and Event Coordination and Support:
Assist in planning and coordinating departmental events, workshops, and conferences, including venue booking, logistics coordination, and participant communication
Provide on-site support during events, ensuring smooth execution and addressing any logistical or operational issues as they arise
Co-ordinate with the transport department for logistical support
Budget Management:
Ensure office is stocked with necessary supplies and all equipment is working and properly maintained
Collaborate with finance and procurement teams to ensure compliance with budgetary guidelines and procurement procedures
Perform any other duties assigned by Social Lead and Social Manager
Qualification, Experiences and Competencies
Bachelor's degree in Business Administration, Communications, Sociology, or related field preferred
3+ years of relevant work experience with proven experience in administrative support roles, preferably in a social department or related environment
Strong organizational and interpersonal skills and attention to detail, with the ability to prioritize tasks and manage multiple workloads simultaneously
Excellent written and verbal communication skills, ability to develop and maintain cooperative working relationships with stakeholders involved in project operations
Ability to work independently with minimal supervision and as part of a collaborative team
Flexibility and adaptability to changing priorities and deadlines in a fast-paced environment
Knowledge of social issues and familiarity with social programs and initiatives is desirable but not required
Ability to analyze data and verbal and written communication with ability to write reports
Good reporting skills, data management skills, comfortable using digital tools and databases, including Microsoft Office suite and project management tools
Fluent English language skills required
