Job Description
Kabale University is a Public University pursuant to Statutory Instrument No. 36 of 16th July 2015 under The Universities and other Tertiary Institutions Act 2001 (as amended)
Applications are invited from suitably qualified and interested candidates for the following post:
Duties and Responsibilities
Academic Administration:
Policy Implementation: Assist in the development, implementation, and enforcement of academic policies and procedures.
Quality Assurance: Ensure compliance with accreditation standards and internal quality assurance processes.
Record Management: Oversee the maintenance of accurate and secure student academic records, including transcripts, grades, and enrollment data.
Curriculum Management: Support the development and management of the academic calendar, course schedules, and curriculum changes.
Examinations: Coordinate the administration of examinations, including scheduling, invigilation, and processing of results.
Student Services:
Registration: Manage student registration and enrollment processes.
Advising: Provide guidance on academic policies and procedures to students, faculty, and staff.
Graduation: Oversee the planning and execution of graduation ceremonies and the processing of degree certifications.
Support Services: Collaborate with other departments to provide comprehensive support services for students.
Leadership and Management:
Team Supervision: Supervise and support academic administrative staff, providing training, performance evaluations, and professional development.
Strategic Planning: Participate in strategic planning and decision-making processes related to academic administration.
Project Management: Lead or contribute to special projects and initiatives aimed at improving academic services and processes.
Communication and Liaison:
Internal Coordination: Act as a liaison between the academic registry and other university departments, ensuring effective communication and coordination.
External Communication: Interface with external bodies, such as accreditation agencies and government entities, regarding academic regulations and compliance.
Reporting: Prepare reports and data analysis to inform decision-making and policy development.
Technology and Systems:
System Management: Oversee the use and development of academic management systems and software.
Data Integrity: Ensure the accuracy and security of academic data through effective system management and data governance practices.
Innovation: Promote the adoption of new technologies and systems to enhance academic administrative processes.
Qualification, Experiences and Competencies
Degree: A Bachelor’s degree in a relevant field such as Education Administration, Business Administration, or a related area is typically required.
Advanced Degree: A Master’s degree or higher in a related field is often preferred.
Professional Experience:
Administrative Experience: Several years of experience in academic administration or a related field, with progressively increasing responsibilities.
Leadership Experience: Demonstrated experience in a supervisory or managerial role.
Project Management: Experience managing projects and leading initiatives.
Skills and Competencies:
Organizational Skills: Excellent organizational and time-management skills, with the ability to manage multiple tasks and projects simultaneously.
Communication Skills: Strong written and verbal communication skills, with the ability to interact effectively with students, faculty, staff, and external stakeholders.
Analytical Skills: Strong analytical and problem-solving skills, with the ability to interpret data and develop actionable insights.
Technological Proficiency: Proficiency in using academic management systems, databases, and other relevant software.
Attention to Detail: High level of accuracy and attention to detail in managing academic records and processes.
Interpersonal Skills: Strong interpersonal skills, with the ability to build and maintain effective working relationships.
Knowledge:
Regulatory Knowledge: Knowledge of academic policies, accreditation standards, and regulatory requirements.
Higher Education Trends: Awareness of trends and best practices in higher education administration.
Additional Qualifications:
Professional Memberships: Membership in relevant professional organizations such as the American Association of Collegiate Registrars and Admissions Officers (AACRAO) or equivalent is beneficial.
Certifications: Relevant certifications in academic administration or project management may be preferred.
