About the Organization
The Uganda Coffee Development Authority (UCDA) is a government agency that was established by an Act of Parliament - UCDA Act, 1991 - which was amended in 1994, Cap. 325, and repealed and replaced by the National Coffee Act No. 17 of 2021.
The Authority is governed by a Board of Directors which oversees the conduct of business and supervision of the UCDA management. The UCDA management is responsible for the day-to-day operations of the Authority.
Job Description
To manage and oversee the activities of the Office of the Board Secretary, act as the primary point of contact for both internal and external clients / customers on all matters pertaining to the Office, and assist in communicating with them. Research, prioritize, and follow up on multiple issues and concerns addressed to the Board Secretary.
Duties and Responsibilities
Serve as the primary point of initial contact on any matter directed to the Office of the Board Secretary, and independently research and prioritize incoming issues and determine appropriate course of action, referral, and/or response
Receive, screen, evaluate, and determine appropriate response to all written correspondence received by the office, and independently formulate and disseminate written responses as appropriate.
Assist the Board Secretary in gathering, investigating, researching, analyzing, and/or studying information that may be required by both internal and external stakeholders.
Coordinate and/or assist with establishing or recommending budget allocations for the office and review revised and final budgets, as specifically assigned.
Oversee and coordinate the day-to-day activities of the office, and implementation of effective operating policies, procedures, and systems.
Provide assistance in the understanding and interpretation of UCDA policies and procedures, as appropriate, and ensure that office operations are in compliance with policy provisions and standards.
Oversee the planning and coordination of key special events for the Office of the Board Secretary.
Carry out any other duties as assigned from time to time.
Qualification, Experiences and Competencies
Bachelor’s degree (Hons) in Business Administration, or Secretarial Studies or Human Resources, or relevant academic field from a recognized University or Institution.
Three (3) years relevant experience.
EXPECTED PERSONAL COMPETENCES AND SKILLS
Excellent business communication skills such as letter writing, report writing, presentation skills and email etiquette among others.
Excellent scheduling and calendar management skills.
Excellent planning and time management skills.
Proficiency in Microsoft Office including Word, Excel, PowerPoint and Outlook and other office management systems.
Record Keeping.
Planning and Organizing.
Ability to work under pressure.
