Job Description
Prepare export-related documents, including commercial invoices, packing lists, bills of lading, certificates of origin, inspection certificates, etc.
Duties and Responsibilities
Order Processing:
Receive and review customer export orders, ensuring the accuracy of order information.
Confirm order details with customers, including product specifications, quantities, prices, delivery times, etc.
Logistics Arrangement:
Arrange transportation methods and routes for goods, selecting appropriate shipping companies.
Contact freight forwarders, shipping lines, and airlines to book space.
Ensure timely loading of goods onto ships, planes, or trucks, and track the transportation process.
Documentation Preparation and Management:
Prepare export-related documents, including commercial invoices, packing lists, bills of lading, certificates of origin, inspection certificates, etc.
Ensure all documents comply with relevant international trade regulations and customer requirements.
Customs Clearance:
Prepare and submit customs clearance documentation, coordinating with customs brokers or clearance agents.
Track the customs clearance process and resolve any issues that arise during clearance.
Communication and Coordination:
Maintain good communication and collaboration with customers, suppliers, logistics service providers, and internal departments to ensure smooth information flow.
Provide customers with timely updates on the progress of goods transportation and customs clearance.
Problem Handling:
Address various issues that arise during transportation, such as cargo damage, delays, or loss.
Resolve customer complaints and inquiries, providing satisfactory solutions.
Cost Calculation and Management:
Calculate various costs incurred during the export process, including freight, customs clearance fees, insurance, etc.
Assist the finance department with the settlement and payment of related expenses.
Data Recording and Reporting:
Record and organize data related to export operations, preparing regular business reports.
Analyze business data and propose improvement suggestions to enhance work efficiency.
Regulation Compliance and Updates:
Understand and comply with international trade laws, regulations, and industry standards.
Stay informed of the latest export business policies and regulations to ensure compliant business operations.
Qualification, Experiences and Competencies
Bachelor’s degree in International Trade, Transport and Logistics Management, procurement & logistics or any other related field.
1-3 years of experience in export operations, familiar with international trade processes and related documentation.
Proficient in office software and relevant business management systems.
Strong communication and teamwork skills, responsible, and reliable.
Ability to solve problems and adapt to changes, capable of working under pressure.
