Job Description

With more than 40 years of experience forging multisector partnerships and with expertise in science, economics, technology, advocacy, and dozens of other specialties, PATH develops and scales up innovative solutions to the world’s most pressing heath challenges.Background of the Family Planning Program at PATH Uganda:
Since 2014, PATH Uganda has been supporting the Ministry of Health in implementing the national family planning program with a focus on introducing and scaling up DMPA-SC (Sayana Press) including Self-Injection in the public health sector. Ministry of Health with support from PATH and other implementing partners has scaled up DMPA-SC including Self Injection in the public sector in the context of a full family planning method mix.
In close collaboration with the Ministry of Health, PATH is implementing the private sector project between 2023 to 2026 to strengthen the private sector market for Family Planning, paving the way for the introduction of more contraceptive methods in commercial outlets, providing clients more options for where and how to access Family Planning methods of choice. The objectives of the project include: institutionalizing the private sector data collection to capture Family Planning data from drug shops and pharmacies that are licensed, to strengthen the governance systems, and support the successful delivery of high-quality Family Planning products and services in pharmacies and drug shops, develop a sustainable market for DMPA-SC in the private sector and also coordinate both the public and private stakeholders in support of a strong Total Market Approach (TMA) for Family Planning.

Position Summary
PATH Uganda is seeking to recruit a Program Assistant. This is a team-supportive role to ensure smooth operational processes and timely execution of activities. The key roles will include organizing and managing events, populating the partners ‘database, detailed minutes taking, and close collaboration with the Finance and operations team for procurement and mobile money payment processes.
Job Location: Kampala

Duties and Responsibilities

  • Preparing training materials for the different trainings, events, monthly task force meetings, and other meetings.

  • Preparing all petty cash payment request forms, mobile money payment forms for participants during meetings and training, and payment request forms for the accommodation of staff and non-staff

  • Organizing and managing events and calendar invites for the Family Planning team, Ministry of Health, and other stakeholders.

  • Note-taking for both internal and external meetings and ensuring that action points are done within the specified timeline. Ensuring that minutes are signed off.

  • Support the team to draft activity budgets.

  • Initiate procurement requests to ensure that supplies are availed to the team on time.

  • Populating the partner’s database and contacts

  • Setting up zoom webinars/teams meetings for the team and calendar management.

  • Managing the Project Manager’s calendar and setting reminders for the team accordingly.

  • General administrative/logistic support to the project team including printing, scanning, photocopying, and filing.

  • Compile travel plan schedules, allocate drivers and request for car hire where possible.

  • Support communication-related activities under the Family Planning team.

  • Review monthly fuel report and sign off.

Qualification, Experiences and Competencies

  • The applicant should preferably have a degree in social sciences, business administration, development studies or other related field.

  • At least 3 years experience working with a health-related program at national or sub-national levels.

  • Proven experience as a Program/Project Assistant.

  • Knowledge of office management systems and procedures.

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and task management tools like Smartsheet, and Box is an added advantage.

  • Excellent time management skills and the ability to prioritize work.

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills
