Marie Stopes Uganda (MSUG) is affiliated with MSI Reproductive Choices and is registered in Uganda as a local Non-Governmental Organization (NGO). Since launching in 1993, MSUG has grown to become one of Uganda’s largest sexual and reproductive healthcare providers, offering a wide range of high-quality, affordable, client-centred services. Our service delivery channels are adapted to fit the different contexts of each region to maximise opportunities for building sustainable platforms that can provide a lasting impact on the health outcomes of Ugandans.
Job Summary: Reporting to the Warehouse Manager, the purpose of this role is to coordinate inflows and outflows of MSUG’s warehouse stock, ensure warehouse security and meet set performance objectives while delivering on the organizational goals. The post holder will be required to consistently engage with the procurement and logistics team on ensuring the right logistics are being supplied for continuity of operations in all the teams supported.
The Warehouse officer shall be responsible for the daily effective supervision of storage facilities as required by MSUG. S/he shall ensure best practices in the management of the warehouse and in accordance with MSI partnership and donor requirements.
Duties and Responsibilities
To assist MSIRC service and project channels with planning, monitoring, and reporting on their stock in the warehouse.
To monitor stock usage and lead times of all commodities, pharmaceuticals and medical equipment bought for the MSIRC programme. Advice the procurement department on replenishment when stock levels are falling.
To ensure that the organisation’s warehouse is secure, and that the premises are kept clean to the required hygiene standards by MSIRC.
Ensure stock is received, stored, controlled, and dispatched efficiently and fit into the warehouse stock storage and control policies following MSIRC best practices and procedures.
To carry out monthly stock counts/cycle counts, and annual stock take in compliance to warehouse SOPs following MSI best practices and procedures.
Ensure that the warehouse temperatures are monitored, regulated, and recorded daily, and advice where improvements are needed.
To work and coordinate with the procurement and logistics team to ensure close integration of logistics planning for all MSUG field teams operations and procurement at project level.
To prepare monthly, quarterly, and annual reports about the status of stock in the warehouse, including receipts, usage, dispatches, and any damages.
Ensure a safe working environment, identifying potential risks in the warehouse while ensuring health and safety policies are followed and adhered to.
Give feedback on warehouse management to ensure effective and efficient management where applicable, come up with new tools that enable streamlining of operations.
Qualification, Experiences and Competencies
Degree in Stores Management, Procurement & Logistics Management, Accounting or Pharmacy a reputable institution.
Additional training in pharmaceutical storage will be an advantage.
CIPS certification will be an advantage.
At least two years of experience in Warehouse/ Stores Operations or Logistics Management in NGOs / commercial setting.
Hard working and persuasive.
Ability to carry and or lift ≥10kg occasionally/repetitively.
Experience in using and ERP system.
Quick decision making and highly intelligent.
Good interpersonal skills and a team player.
Good customer management skills.
Flair for sales.
